Privacy Policy

This Privacy Policy ("Policy") outlines how Maths with Hannah Tuition (the "Company") collects, uses, and processes personal data in relation to its services and website (the “Site”). The Company is committed to protecting and safeguarding the personal data of its clients and tutors in accordance with the Data Protection Act 2018, and the General Data Protection Regulation (GDPR) (“Data Protection Laws”).

Personal Data Collection

The Company processes personal data only where it has a valid reason to do so, including where it has obtained consent from the data subject, or where it is required to do so to fulfil its contractual or legal obligations.

For clients, the Company collects registration and student details, including name, email address, address, telephone number, child's name, child's school year, and child's educational background. Payment details may also be collected for processing card payments or direct debit payments through Stripe.

Once you become a student, we store all of your information, which includes all of the details that you submit via email, on our database/calendar software “Teachworks”. You can check their privacy policy here

Once you are no longer an active student/family at the Company we will keep your information because many of our students choose to return to us for a block of booster sessions or regular sessions further down the line. Upon request, this information can be deleted or made anonymous. All requests will be responded to within one month, in accordance with the EU GDPR 2018.

For tutors, the Company collects name, telephone number, email address, teaching/tutoring experience, qualifications check, identity check, and DBS and other criminal records related information. The Company may also store bank details for payment purposes.

Usage data may also be collected through Google Analytics, including geographical location, browser type and version, operating system, referral source, length of visit, page views, and website navigation paths. This data will be aggregated and anonymised to improve the Site.

Personal Data Use

The Company uses personal data to fulfil tutoring requests, meet contractual and legal obligations, record-keeping, process job applications, send marketing communications, and deliver a high-quality service to clients and tutors.

Sharing Personal Data with Third Parties

The Company shares clients' broad assignment requirements on with specific, matched tutors so that relevant tutors can apply for the job. Specific registration and student details will be shared with the tutor upon selection. The Company may also share personal data, with consent, with third parties, such as schools. Personal information will be kept confidential within the Company and will not be passed on to any 3rd parties, save for trusted payment partners as detailed above, unless required by law.

Tutor profiles may be published on the Site and shared with prospective clients. Contact details will only be passed on for jobs applied for or expressed interest in. Third-Party Software Providers

Third-party software may be used as part of the Company's services, subject to an equivalent degree of confidentiality and data security. Personal data will only be processed by or through third-party providers as is reasonably necessary in accordance with this Policy.

We use "Teachworks" as a database and scheduling software. We will set up your account on here once you are a student with us so that you may receive notifications and invoices. You can check their privacy policy here

Data Security

Reasonable steps are taken to ensure personal data is kept safe, protected from unauthorised access, and used for a commercially reasonable period. Access to personal data is limited to Company staff and tutors with a business need to know, who are subject to a duty of confidentiality.

Cookies are issued only when strictly necessary for website operation, and consent is obtained from the data subject where required.

Retention of your information

 

We will always retain your personal information in accordance with the law and regulation and we will not retain your information for any longer than we think is necessary.

Information that we collect will be retained for as long as needed to fulfil the purposes outlined above, in line with our legitimate interest or for a period specifically required by applicable regulations or laws, such as retaining the information for regulatory reporting purposes.

You have the right to access the personal information that we hold about you (as defined in the EU General Protection Data Regulation 2018) upon receipt of a written request. Before providing personal information to you or another person on your behalf, we will ask for proof of identity and sufficient information about your interactions with us that we can locate your personal information. If any of the personal information that we hold about you is inaccurate or out of date, you may ask us to correct it.

You have the right to object to us processing your personal information if we are not entitled to use it any more, to have your information deleted if we are keeping it too long or to have its processing restricted in certain circumstances.
